Commons: Creating Accounts
Types of Accounts
Administrative Official (AO)
- Can review a grant application for accuracy before SO submits to NIH
- Has the ability to create additional AO or PI accounts
- Is not authorized to submit proposals to NIH
- Can be at the departmental or central office level
Principal Investigator (PI)
- Directs project or activity being supported by the grant
- Has the ability to complete the grant process via Commons
- Can delegate another individual (ASST) PI access
- Can also give authorization to an individual to edit personal profile
(PPF)
- Can view grants, including status and award info which individual is
designated as PI
Assistant (ASST)
- Designated by PI to complete certain responsibilities for data entry
of grant information
- Can provide upkeep of PI’s personal profile
- Does not have any other functions in the Commons system
To create an Authorized Official account:
- Log in.
- Go to Administration and select Account.
- Select Create New Account.
- Complete the required fields and click Submit.
Result: A verification screen will be displayed. NIH will
email the new registrant a username and temporary password within 24 hours.
When the registrant logs
in for the first time, he or she will be required to change the password.
To create a PI account:
Note: PI registration can take 7-10 days for the account to become active.
If participating in the e-SNAP pilot, be sure to allow extra time for
activation.
- Log in to Commons.
- Go to Administration and select Accounts.
- Select Maintain Account to access
the Account List page.
- Use the following
table to proceed.

select the link, complete the appropriate fields, and click Submit. |

select Create Account from the top menu, complete the appropriate fields,
and click Submit. |
Result: PIs will receive an Account Created email notification
with a username and password. However, brand new PIs will first receive an
email requesting
confirmation regarding the PI’s participation in grant applications,
committee involvement and training appointments. These PIs must follow
the link in the email and complete a form in order to receive an email
notification with a username and password.
