Revising the Initial Review Application Form - Basic
Instructions for Investigators
For Word 2003, do the following:
- Save a copy of the application as the next sequential version number. For
this example, the initial review is version 1 and the revised document is
version 2.
- Unprotect version 2 (go to “Tools” in the toolbar, then choose
unprotect document).
- Make the changes to the text as requested by the IRB.
- Once the changes are made, click on “Tools”, then choose “Compare
and Merge Documents”.
- In the box that comes up, choose version 1 of the document.
- Make sure you also have the boxes for “legal black line” and “find
formatting” both checked on the bottom. This ensures that the
application keeps all the lines, tables, and special formatting.
- Hit “Compare”.
- The resulting document will have all of the changes illustrated. In
the tool bar, this will called “Original Showing Markup”. This
can be printed out for the marked version of the application.
- In the toolbar, click the arrow next to “Original Showing Markup”. A
drop-down menu will appear. Choose “Final”, and document
changes will disappear. This can be printed out for the unmarked (or
clean) version of the application.
- Do not re-protect the document. You will lose information.
For people who have an older version of Word:
- Save a copy of the application as the next version number. For this
example, the initial review is version 1 and the revised document is
version 2.
- Unprotect version 2 (go to “Tools” in the toolbar,
then choose unprotect document).
- You need to first make a copy of the
application that illustrates the changes to this document. See #4 and
#5 on how to edit the application
- For text that is to be removed,
highlight the text with the cursor, then choose “Format” from the toolbar, then choose “Font”. In
the box that appears, under the “font” tab, choose “strikethrough” (one
of the checkbox items).
- To show added text, type the new text in,
then highlight the new text with the cursor. Go to “Format”, then “Borders and
Shading”. In the box that appears, choose the tab for “shading”. Choose
from the variety of shading choices (suggest not too light or too dark,
as both the highlights and the text underneath need to be seen when printed).
- Print
this document. This will be your marked copy.
- Now go back to all of
the changes you made to this document. All
text with a strike-through can be deleted. Highlighting can be removed
from the new text.
- Print this document. This will be your unmarked
(or clean) copy.
- Do not re-protect the document. You will lose information.
